Refund & Cancellation Policy
This Refund & Cancellation Policy outlines the terms under which payments, cancellations, rescheduling, and refunds are managed for services provided by Ruth Fisher – Bit & Bridle Fitting Consultant. By booking an appointment, you agree to the terms below.
1. General Policy
All consultations, assessments, and fitting services provided by Ruth Fisher are delivered by appointment only. Time is reserved specifically for your horse and yard location; therefore, cancellations and changes directly impact the schedule and travel planning.
For this reason, clear notice periods and refund terms are required.
2. Cancellations by the Client
2.1 Notice Period
Clients may cancel their appointment with a minimum of 48 hours’ notice.
Cancellations made more than 48 hours before the scheduled appointment are eligible for a full refund of the consultation fee (excluding any payment processing fees, if applicable).
2.2 Late Cancellations
Cancellations made within 48 hours of the scheduled appointment are non-refundable.
This includes situations where yard availability changes, the horse becomes unavailable, or the rider is unable to attend.
2.3 No-Shows
If the client does not attend the appointment and no notice is given, the full consultation fee is non-refundable, and a new booking must be paid for in full.
3. Rescheduling
Clients may request to reschedule an appointment with at least 48 hours’ notice, subject to availability.
Rescheduling requests made within 48 hours may be treated as a cancellation and charged accordingly.
4. Travel Fees
Travel fees are calculated based on distance from Retford, Nottinghamshire.
Travel fees are non-refundable once travel has commenced.
If the appointment is cancelled on arrival due to circumstances outside the consultant’s control (e.g., horse not fit for assessment, no access to yard), the full consultation and travel fee remain payable.
5. Cancellations by the Consultant
If Ruth must cancel or postpone your appointment due to illness, unforeseen circumstances, or unsafe conditions:
You will be offered a full refund, or
The option to rebook at the earliest available date at no additional cost.
No compensation is provided for indirect costs such as livery changes, transport, or loss of time.
6. Unsuitable Horses or Conditions
If on arrival the horse is found to be:
unsafe to handle,
showing signs of illness or lameness,
unsuitable for bit or bridle fitting for welfare reasons, or
unprepared/without required tack,
the appointment may be terminated at the consultant’s discretion.
In such cases, no refund will be issued, as the booking time has been allocated and travel completed.
7. Refund Method
Approved refunds will be processed back to the original payment method used at booking.
Please allow up to 7–10 working days for the refund to appear, depending on your bank or payment provider.
8. Product Purchases
If bits or bridles are purchased as part of the consultation:
Items personalised, used, or trial-fitted to your horse cannot be returned unless faulty.
Faulty or defective items will be refunded or replaced in accordance with UK Consumer Rights law.
9. Weather Policy
Appointments may proceed in normal weather conditions.
If severe or unsafe weather prevents the consultation from taking place:
Ruth may decide to postpone or reschedule for safety reasons.
In these cases, you may receive a refund or rebook at no cost.
Clients choosing to cancel due to weather when conditions are deemed safe will follow the standard cancellation policy.
10. Yard Rules and Access
Clients must ensure appropriate access to the horse and yard facilities.
If the consultant is unable to carry out the service due to:
yard restrictions,
denied access,
unavailable horse,
or unsafe environment,
the appointment may be terminated with no refund.
11. Emergencies and Exceptional Circumstances
genuine emergencies will be handled on a case-by-case basis at the consultant’s discretion.
Evidence may be required (e.g., vet note for sudden illness or injury).
